Learn how to add team members and manage access to your Beaconed account.


Overview

Beaconed supports multi-user access so your team can collaborate on product optimizations. Team members can review, approve, and push changes without sharing a single login.


Roles and Permissions

Admin

Full access to everything:

  • Manage team members
  • Change billing and plan
  • Access all features
  • Push changes to Shopify

Member

Standard access for daily work:

  • View products and optimizations
  • Generate new optimizations
  • Accept/reject optimizations
  • Push changes to Shopify

Cannot:

  • Manage team members
  • Change billing or plan settings

Inviting Team Members

Step 1: Navigate to Team Settings

  1. Click Team in the sidebar
  2. Click Invite Member

Step 2: Enter Details

  1. Enter their email address
  2. Select their role (Admin or Member)
  3. Click Send Invitation

Step 3: Team Member Accepts

  1. They receive an email invitation
  2. They click the link to accept
  3. They’re added to your team

Note: Invitations expire after 7 days. You can resend from the Invitations tab.


Managing Team Members

Viewing Team Members

Go to Team to see:

  • All active team members
  • Their roles
  • When they joined

Changing Roles

  1. Find the team member in the list
  2. Click their current role
  3. Select the new role
  4. Confirm the change

Removing Team Members

  1. Find the team member in the list
  2. Click Remove
  3. Confirm removal

Removed members immediately lose access. Their previous actions remain in the audit log.


Managing Invitations

Viewing Pending Invitations

Go to Team > Invitations to see all pending invitations.

Resending an Invitation

  1. Find the invitation
  2. Click Resend
  3. A new email is sent

Canceling an Invitation

  1. Find the invitation
  2. Click Cancel
  3. The invitation link becomes invalid

Security Best Practices

Use Individual Accounts

Each team member should have their own login:

  • Better audit trail
  • Easier to revoke access
  • Individual accountability

Review Access Regularly

Monthly access reviews:

  • Remove members who’ve left
  • Verify role assignments
  • Check for unused accounts

Use Strong Passwords

Encourage team members to:

  • Use unique passwords
  • Enable two-factor authentication on Shopify
  • Never share login credentials

Audit Trail

All team actions are logged:

  • Who made changes
  • When changes were made
  • What was changed

View the audit log in Settings > Activity Log.


Frequently Asked Questions

Can team members see all products?

Yes, all team members can view all synced products regardless of role.

Can I have multiple admins?

Yes, you can promote any team member to admin. We recommend having at least two admins for continuity.

What happens when a team member is removed?

  • They immediately lose access
  • Their actions remain attributed to them in history
  • No data is deleted

Can team members have different Shopify access?

Beaconed access is separate from Shopify staff permissions. A team member may have different levels of access in each system.

How do I transfer ownership?

Contact support@beaconed.ai to transfer account ownership to another team member.
